Introduction
Taking Business Out on the Water
Conference rooms are forgettable. A private yacht on Tampa Bay at sunset is not. Corporate yacht charters have become one of the most effective ways to entertain clients, celebrate wins, and bring teams together, all in a setting that feels exclusive and relaxed.
Whether you're hosting a handful of key clients or rewarding your leadership team, a well-planned charter delivers privacy, hospitality, and an experience your guests will talk about long after they're back on shore.
Here's how to plan one that runs smoothly from the first invitation to the final toast.

Step 1: Define the Purpose of the Event
The goal shapes every other decision. Common corporate charters include:
- Client entertainment: Build relationships in a private, memorable setting.
- Team celebrations: Reward a strong quarter, a product launch, or a milestone.
- Executive retreats: Strategy sessions with fewer distractions and better views.
- Conference add-ons: Give out-of-town attendees a signature Tampa Bay experience.
Step 2: Confirm Your Guest Count
Every yacht has a maximum passenger capacity set by its certification, and that limit can't be exceeded. Confirm your final guest list early, including any staff, photographers, or entertainers, so we can match you with the right vessel. For larger groups, multiple yachts or a waterfront venue pairing may be the best option.
Step 3: Choose the Right Length and Time
Our standard minimum charter is 4 hours, and some larger vessels require 6. Popular formats include:
- Sunset cruises: The most popular choice for client events, with golden-hour views of the Tampa skyline.
- Half-day charters: Ideal for team outings with swimming, water toys, or a sandbar stop.
- Full-day experiences: Room for meetings in the morning and celebration in the afternoon.
Step 4: Plan Food, Drinks, and Entertainment
Hospitality is what turns a boat ride into a corporate event. Options include luxury catering, charcuterie boards, private chef service, and professional bartenders. You're also welcome to bring your own provisions, including alcohol, as long as all passengers are 21 or older. Consider adding music, a photographer, or branded touches like custom drinkware for a polished experience.
Step 5: Arrange Transportation to the Dock
Make arrival part of the experience. Our chauffeur service can bring clients and executives from their hotel or office directly to the marina in luxury SUVs or executive vans, so no one has to worry about parking or directions.
Step 6: Know the Booking Requirements
To secure your charter, we require:
- A signed charter agreement
- A 50% deposit, with the balance due 72 hours before the charter
- A valid government-issued ID
- A completed passenger manifest
Cancellations within 72 hours may be subject to a fee, so finalize your plans early.
Step 7: Have a Weather Plan
Florida weather can change quickly, especially in summer and during hurricane season. Your captain makes the final call on safety, so discuss rescheduling options in advance and keep a flexible backup date in mind for important events.
